This Privacy Policy explains how Seller Muse ("we," "us," or "our") collects, uses, discloses, and protects your personal information when you use our website at sellermuse.com, our application at app.sellermuse.com, and any related services (collectively, the "Service"). By using the Service, you agree to the practices described in this policy.
1. Information We Collect
1.1 Account Information
When you create an account, we collect your name, email address, password (hashed), and optionally your phone number and profile photo. If you sign up via Google or Facebook OAuth, we receive your name, email address, and profile picture from those services.
1.2 Business Information
We collect your business name, direct-sales company affiliation, brand colors, team/upline information, and any details you provide for your public directory listing (bio, services, location, and photos).
1.3 Billing & Payment Information
Payments are processed by Stripe. We do not store your full credit card number. Stripe collects and processes your payment details directly. We receive and store a Stripe customer ID, subscription status, plan tier, and transaction history.
1.4 Content You Create & Upload
This includes designs you create from our templates, text you add to templates, profile photos, brand logos, receipt images you upload for expense tracking, and any content you post to your directory listing or reviews.
1.5 Video Room Data
When you host or join a video room (virtual party or team meeting), we collect attendance times, chat messages sent during the session, poll responses, product interest clicks, raise-hand events, and recognition messages. For team meetings where recording is enabled by the host, we capture audio/video recordings and generate post-call transcriptions and AI summaries. Virtual party rooms are never recorded.
1.6 Expense & Mileage Data
If you use expense tracking features, we collect expense amounts, categories, vendor information, and receipt images. If you enable mileage tracking, we collect GPS-derived location data with your explicit permission.
1.7 Device & Usage Information
We automatically collect your IP address, browser type, operating system, device identifiers, referring URLs, pages visited, features used, and timestamps. This data helps us improve the Service and diagnose issues.
1.8 Communication Data
When you contact us or we send you emails (party invitations, RSVP confirmations, meeting summaries, action items, recognition notifications, marketing sequences), we retain the content of those communications.
1.9 Referral Data
If you participate in our referral program, we collect referral link usage, the identities of referred users (with their consent), and referral credit information.
1.10 Team Data
If you are a team leader and import team members via CSV, we collect the names and email addresses you provide. We send invitation emails to those individuals on your behalf.
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the Service — create and manage your account, process subscriptions and purchases, deliver templates and content, host video rooms, and enable all platform features.
- Process AI-powered features — generate template designs, social media captions, party games, meeting summaries and transcriptions, and perform receipt OCR (see Section 3 for details).
- Send communications — transactional emails (party invites, RSVP confirmations, reminders, meeting summaries), marketing email sequences (welcome series, re-engagement), and account notifications. You can opt out of marketing emails at any time.
- Process payments — charge subscriptions, process one-time purchases (party credits, meeting credits, recording add-ons), and manage refunds through Stripe.
- Maintain security — enforce one-session-per-account policy, rate-limit API usage, embed invisible watermarks in exported content (containing your user ID and timestamp) to protect our proprietary templates, and detect abuse.
- Improve the Service — analyze usage patterns, diagnose technical issues, and develop new features.
- Manage affiliate tracking — track clicks on affiliate links in our Deals section to earn commissions from partner retailers (see Section 5).
- Comply with legal obligations — respond to legal requests and enforce our Terms of Service.
3. AI Data Processing
Seller Muse uses artificial intelligence to power several features. Here is what data is processed, how, and by which services:
3.1 Template Generation & Captions
When you or our team generates templates, captions, or party games, we send descriptive prompts (including format preferences, style choices, and optional headline copy) to Amazon Web Services (AWS) Bedrock, which runs AI language models (Anthropic Claude). The prompts do not include your personal information beyond your brand-related preferences. Generated outputs are stored in our database.
3.2 Receipt OCR
When you upload receipt images for expense tracking, the image is sent to AWS Bedrock (Anthropic Claude Haiku with vision capability) to extract text, amounts, vendor names, and dates. The receipt image is transmitted securely to AWS and is not retained by the AI service after processing.
3.3 Meeting Transcription & Summaries
For team meetings with recording enabled, post-call transcription is performed by 100ms (our video infrastructure provider). The transcription is then sent to AWS Bedrock (Anthropic Claude) to generate meeting summaries and action items. These summaries are stored in our database and may be shared with meeting participants via email.
3.4 Image Generation
Template background images are generated using Google Vertex AI (Imagen). Only art-direction prompts are sent to this service — no personal information is included.
Important: AI-generated content may contain inaccuracies. You are responsible for reviewing all AI outputs (summaries, captions, OCR extractions, and generated designs) before relying on them for business purposes.
4. Video Rooms & Recordings
4.1 Virtual Party Rooms
Virtual party rooms support up to 30 guests for up to 75 minutes with webcam and microphone access. Party rooms are never recorded. This is a deliberate design choice to protect guest privacy. We do collect metadata during the session, including attendance times, chat messages, poll responses, product interest clicks, and raise-hand events.
4.2 Team Meetings
Team meetings support 10 to 500 participants for 60 to 120 minutes. Meeting hosts may enable recording. When recording is active, all participants are notified. Recordings are stored on Amazon S3 for 90 days by default, after which they are automatically deleted. Hosts may purchase a recording extension add-on ($2.99/month) to retain recordings beyond 90 days.
4.3 Guest Participants
Guests may join video rooms without creating a Seller Muse account. Guests provide a display name and optionally an email address. Guest data is limited to the information they provide and their participation metadata for that session.
4.4 Video Infrastructure
Video rooms are powered by 100ms. Audio and video streams are processed through 100ms infrastructure in the United States. Please review 100ms's Privacy Policy for details on their data handling practices.
5. Affiliate Links & Deals
Our Deals section features products and offers from third-party retailers such as Amazon, Walmart, Target, and others. These links are affiliate links, and Seller Muse earns a commission when you click through and make a purchase. This does not affect the price you pay. When you click an affiliate link, the retailer may set cookies on your device to track the referral. We may also track which affiliate links you click within the Service for analytics purposes. This disclosure is made in compliance with Federal Trade Commission (FTC) guidelines.
6. Cookies & Tracking Technologies
We use cookies and similar technologies for the following purposes:
- Essential cookies — required for authentication (JWT session tokens), security, and basic Service functionality. These cannot be disabled.
- Analytics cookies — help us understand how visitors use our website so we can improve the experience.
- Third-party cookies — set by our payment processor (Stripe), authentication providers (Google, Facebook), and affiliate partners when you interact with those features.
Most browsers allow you to control cookies through their settings. Disabling essential cookies may prevent you from using the Service.
7. Third-Party Services
We use the following third-party services to operate the platform. Each has its own privacy policy governing how they handle data:
- Stripe — payment processing (Privacy Policy)
- Amazon Web Services (AWS) — cloud infrastructure (S3 file storage, Bedrock AI processing, SES email delivery), all in the US East (N. Virginia) region (Privacy Policy)
- Google Cloud Platform / Vertex AI — AI image generation (Privacy Notice)
- 100ms — video room infrastructure (Privacy Policy)
- Vercel — web application hosting (Privacy Policy)
- Railway — database and cache hosting (Privacy Policy)
- Google OAuth / Facebook OAuth — social authentication. When you sign in with Google or Facebook, we receive your name, email, and profile picture as authorized by you.
8. How We Share Your Information
We do not sell your personal information. We share information only in the following circumstances:
- Service providers — with the third-party services listed in Section 7, strictly to operate the platform.
- Public directory — if you create a public directory listing, the information you include (name, bio, services, location, photos) is publicly visible at sellermuse.com/directory.
- Team features — if you are part of a team, your team leader may see your name, participation in meetings, and content you post to the team feed.
- Video room participants — other participants in a video room can see your display name, video, audio, and chat messages during the session.
- Legal requirements — when required by law, court order, or governmental authority, or when we believe disclosure is necessary to protect our rights, safety, or property.
- Business transfers — in connection with a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.
9. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. Specific retention periods include:
- Account data — retained while your account is active and for up to 30 days after account deletion to allow for recovery, then permanently deleted.
- Meeting recordings — automatically deleted after 90 days unless you have an active recording extension subscription.
- Purchased credits — party credits and meeting credits never expire and are retained as long as your account exists.
- Exported designs — your saved designs are retained while your account is active.
- Expense and receipt data — retained while your account is active. We recommend downloading tax reports before deleting your account.
- AI generation logs — we log AI model calls (including model used, token counts, and cost) for operational purposes. These logs do not contain your personal content and are retained for up to 12 months.
- Analytics and usage data — retained for up to 24 months in aggregated form.
10. Your Rights & Choices
Depending on your location, you may have the following rights regarding your personal information:
- Access — request a copy of the personal information we hold about you.
- Correction — request that we correct inaccurate or incomplete information.
- Deletion — request that we delete your personal information, subject to legal retention requirements.
- Data portability — request your data in a structured, machine-readable format.
- Opt out of marketing emails — unsubscribe from marketing communications at any time using the link in any marketing email or through your account settings. Transactional emails (invoices, security alerts, service notifications) cannot be opted out of while your account is active.
- Withdraw consent — where processing is based on consent (e.g., location tracking for mileage), you may withdraw consent at any time through your device or account settings.

11. California Privacy Rights (CCPA)
If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights:
- Right to know — you may request the categories and specific pieces of personal information we have collected about you, the categories of sources, the business purpose for collecting it, and the categories of third parties with whom we share it.
- Right to delete — you may request deletion of your personal information, subject to certain exceptions.
- Right to non-discrimination — we will not discriminate against you for exercising your CCPA rights.
- No sale of personal information — we do not sell your personal information as defined under the CCPA.
To submit a CCPA request, email hello@sellermuse.com with the subject line "CCPA Request." We may need to verify your identity before processing your request.
12. Children's Privacy
Seller Muse is designed for business owners and is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children under 13 years of age. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information as quickly as possible.
We acknowledge that minors may incidentally appear on camera during video rooms (for example, a child walking through the background of a virtual party). Hosts are responsible for managing their environment, and we do not intentionally collect or store identifying information about incidental participants. As noted above, virtual party rooms are never recorded.

13. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect your personal information, including:
- Encryption of data in transit (TLS/HTTPS)
- Hashed passwords (never stored in plain text)
- JWT-based stateless sessions with single-session enforcement
- Rate limiting on API endpoints
- Access controls restricting who can access production databases and infrastructure
No method of transmission or storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.
14. International Users
Seller Muse is operated from the United States. All data is processed and stored in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Service, you consent to this transfer.
15. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and notify you by email or through a prominent notice on the Service. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
